TL;DR — How we handle your data

• We collect and process limited Discord information needed to run Cano Scrims, including Discord IDs, usernames, display names, server membership and role information, moderation records, scrim statistics, and operational records.
• Cano Helper may process messages, embeds and attachments in designated moderation, ticket, staff and operational channels where this is required for Cano features.
• Cano Helper does not maintain a general archive of Discord messages. Raw message content is normally processed only when required for a feature.
• Some authorised tools may temporarily process Discord attachments on Cano infrastructure. Temporary files are deleted after processing where applicable.
• Some operational records and statistics may be stored using restricted Google services such as Google Sheets.
• We may see Patreon usernames or email addresses where required to provide supporter benefits, but payments are processed by Patreon, not Cano.
• We do not sell your data, use it for advertising, or use Discord message content to train artificial intelligence or machine learning models.
• You may request access to or deletion of personal information associated with you.

1. Information We Collect

We collect and process information that is reasonably required to operate Cano Scrims, Cano Helper and related Cano services.

From Discord and Cano Helper

• Discord User IDs
• Discord usernames, display names and other basic account information made available through Discord
• Server membership and assigned Discord role information
• Messages and embeds processed in designated support, moderation, staff and operational channels
• Attachments submitted to Cano Helper features where required for processing
• Ticket, moderation and enforcement records
• Staff-action statistics derived from moderation and operational activity
• Cano Currency transactions, approvals and related operational records
• Scrim hosting and operational statistics
• Scrim statistics such as kills, wins and placement provided by Yunite or similar tools
• Invite, access and eligibility information used for restricted Cano services

Cano Helper does not maintain a general-purpose archive of Discord messages. Message content is processed where necessary for Cano functionality, including moderation automation, ticket workflows, staff commands, scrim management and other configured operational systems.

2. How We Use Information

We use the information we collect and process to:

• Run scrims, leaderboards and community features
• Operate Cano Helper and other Cano automation
• Manage Discord membership, roles, permissions and access
• Generate staff lists and perform authorised member-management operations
• Provide ticket support and handle moderation matters
• Maintain moderation, enforcement and staff-action records
• Operate Cano Currency and related approval systems
• Generate scrim announcements and maintain scrim statistics
• Determine eligibility for restricted Cano services
• Detect abuse, investigate security incidents and protect Cano systems
• Debug, maintain and improve Cano services
• Manage Patreon supporter benefits such as Discord roles

We do not sell, rent or trade personal information. We do not use Discord message content for advertising or to train artificial intelligence or machine learning models.

3. Message Content and Attachments

Cano Helper processes Discord message content where required for configured Cano functionality.

This may include messages or embeds generated by users, staff, webhooks or other bots in designated moderation, ticket, staff and scrim channels.

For example, Cano Helper may process moderation log messages to identify an action and update the corresponding staff-action statistics.

Cano Helper generally extracts only the information needed to perform the relevant function rather than retaining a permanent copy of the original Discord message.

Some restricted administrative tools may temporarily download or process Discord attachments. Temporary files are deleted after processing where applicable and are not maintained as a permanent message-content archive.

4. Sharing and Service Providers

Information may be accessible to or processed by:

• Authorised Cano Staff where access is required to perform their moderation or operational responsibilities
• Cano Management for moderation, administration, security, operations and handling data requests
• Discord, as the platform on which Cano's Discord services operate
• Google services, which may be used for restricted operational records and statistics such as staff-action and scrim statistics
• Yunite and similar services used for Fortnite scrim statistics and related functionality
• Patreon, where necessary to manage supporter benefits
• Cloudflare and other infrastructure providers used to operate and protect Cano services
• Law enforcement or other authorities where disclosure is required by applicable law

We do not share personal information with advertisers or unrelated third parties for marketing purposes.

5. Data Retention

We retain information only for as long as it is reasonably required for the purpose for which it was collected, for legitimate operational or security requirements, or where retention is required by law.

• Discord account, member, role and operational information may be retained while it remains necessary to operate Cano services.
• Structured moderation and enforcement records may be retained for moderation, abuse prevention, dispute resolution and security purposes.
• Staff-action, scrim and other operational statistics may be retained for historical operational analysis.
• Raw Discord message content is not generally maintained as a long-term archive by Cano Helper.
• Temporary attachment files processed by authorised Cano Helper features are deleted after processing where applicable.
• Website logs are retained temporarily where required for security, debugging and abuse prevention.
• Information stored directly by Patreon remains subject to Patreon's own retention practices.

Where personal information is no longer required, Cano may delete, anonymise or de-identify it as appropriate.

6. International Users

Cano Scrims is based in Australia but serves players throughout Oceania, including users in New Zealand and other nearby countries.

Information may be processed or stored using service providers located outside your country. We take reasonable steps to protect information regardless of where it is processed.

7. Your Rights and Data Requests

You may request access to personal information Cano holds about you, ask questions about how it is used, request correction of inaccurate information, or request deletion of personal information associated with you.

Where a record must be retained for legal, security, abuse prevention or enforcement-integrity purposes, Cano will retain only the information reasonably required for that purpose where permitted.

Where appropriate, information may instead be deleted, de-identified or separated from identifying account information.

We may ask for reasonable verification before acting on a request so that information is not disclosed to or deleted at the request of someone who does not control the relevant account.

8. Security

We take reasonable technical and organisational measures to protect information handled by Cano.

These measures include restricting access to authorised personnel, limiting permissions, maintaining operational logging, using encrypted infrastructure for stored Cano data, and using trusted infrastructure and service providers.

No online service can guarantee absolute security. If we identify a security incident affecting personal information, we will respond in accordance with applicable obligations.

9. Children

Cano Scrims is only available to users who meet Discord's minimum age requirements. We do not knowingly provide Cano services to users who are below the minimum age permitted to use Discord.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to Cano services, data handling practices, legal requirements or third-party services.
